How to redact a PDF safely

What redaction means

Redaction means removing sensitive information so it cannot be read, copied, or recovered later. It is not the same as drawing a black box over text in a PDF if the original content is still underneath.

What to remove

Look for direct identifiers first: names, addresses, phone numbers, email addresses, account numbers, bank details, signatures, and ID numbers. Then check for indirect details that still point back to a person or company.

Risks of doing it wrong

The biggest risk is thinking something has been removed when it has only been hidden visually. If the text is still selectable, searchable, or recoverable, the file is not safely redacted.

That matters most when sharing legal, financial, employment, or medical records, where one missed field can expose more than expected.

  1. Identify every field that could reveal a person, account, or private relationship.
  2. Remove or mask the values in a way that leaves no readable source text behind.
  3. Review the final document before sharing it.
